Job Description

Key Responsibilities

  • Fuel card control – Issuing new, ordering replacements, cancelling lost or leavers, updating fuel card registers.
  • Fuel reports – Run fuel reports for high drawings, premium fuel drawing.
  • HGV Maintenance – Updating Maintenance Planner, filing vehicle records, requesting vehicles documents from relevant service provider, filing defect reports, and updating vehicle files weekly / monthly
  • Driver Records – Updating driver files weekly / monthly including tachographs and logbooks.
  • Fleet Registers – Updating various registers through excel or internal systems.
  • Fleet Reports – Analysing various fleet reports and updating internal systems or advising Fleet Management company.
  • Fines – Actioning PCN’s, NIP’s as and when required through Fleet Management company and actioning payments / recharges as required.
  • Order Numbers – Providing order to external suppliers.
  • Telematics – Analysing telematics system and reports for 170+ vehicles. Updating allocations, groups etc.
  • New / Current Vehicles – Action V5, Tax, driver allocation, adding to various systems, updating Fleet Management company, Internal Payroll and HR departments.
  • Vehicle Deliver / Collections – Arranging delivery or collection of company vehicles through 3rd party or internally.
  • Assist with invoicing queries, day to day data entry and general administrative duties.
  • Maintain internal records and data bases with up to date information.

Key Skills

  • Excellent Microsoft Office computer skills (e.g. Word, Excel, PowerPoint, e-mail)
  • Good organisational skills. Able to plan, prioritise and meet tight deadlines, and the ability to deal with pressure in a professional manner
  • Continuous Improvement – Identify and create new and innovative ways of doing business and drive improvements.
  • A diligent, conscientious, analytical approach
  • Able to act on initiative, identify opportunities & proactive in putting forward ideas & solutions
  • High standard of administration skills
  • Plans and organises systematically yet flexibly to achieve objectives

You will have

  • Working experience within a Transport / Fleet operation.
  • OLAT desirable, not essential.
